Correct formatting problems and standardize formats

You can do this in a number of ways. Some marketers we spoke to use tools to automate this task. Others, like Oriol Bel of Inboundcycle , do it by hand. “We do it by hand when we review our most qualified leads.”

The marketers we spoke to mentioned two specific elements that need to be formatted correctly.

Initial capital letter in names
The data cleansing process often begins with correcting a simple problem: capitalization of names.

“Unfortunately, having to go back and forth to see which names don’t have an initial capital, open the contact record, and make the change is a fairly manual process,” says Shelby Heath of Campaign Creators.

"When you identify that many people are not capitalizing their name, perform routine checks when a potential client comes in to ensure that they have capitalized their name."

It may not seem like a lot of work, but Heath says it's worth it:

“We personalize most emails and it doesn’t look good when someone receives an email with their name in lowercase. Cleaning up the name can lead to a more positive impact and prevents the customer from receiving an email and thinking it wasn’t intended for them.”

Instead of doing this check in the CRM, Beverley Barnes thailand code number of Media Junction exports the data to Excel and cleans it up there.

«For example, name fields that include both first and last name, do not have initial capitalization, have fields that do not match, etc. can be sorted more easily and corrected using Excel, then re-imported to update the data.»

“The impact of fixing just this one issue (the name field) can have a ripple effect throughout the entire process, enabling the use of personalization tokens.”

“From smart content on pages to using name tokens in marketing and sales communications, all of this can enable a more personalized and human tone in marketing interactions.”

“At Nextiny Marketing, we use Insycle to quickly identify names that do not have an initial capitalization and correct them with a single click,” said Gabriel Marguglio, founder and CEO.
